Q2 BRP Prep Timeline
A step-by-step guide for every phase—from Requirements Scope locking through to Big Room Planning—so your team knows exactly what to do, when to do it, and what "good" looks like at each checkpoint.
Q2 BRP Sprints
Q2 BRP Prep at a Glance
Key milestones from Requirements Scope locking through Big Room Planning

(Triads)Scope Review Checkpoint — Walk through Initiative scope, confirm BRP Candidates, dependency awareness - review / update dependencies
3
Mon 3/9 → mid-April
Technical Design Window — Engineering / Architecture Solutioning, kick-off Lucid board planning, solidify initiative milestones

We are here: Requirements Scope locking / "Plan for the plan"
What you do (In Aha)
  • Tag Initiatives as "For Q2 BRP Candidate" and applicable Epics too (If Epics solutioned, tag applicable Features).
  • Link Epics to applicable primary Initiative (Initiative field on Epic Overview tab; for your team and the dependency teams)
  • Confirm Primary Enterprise Priority on the Initiative.
  • Update the Initiative Overview fields (basic hygiene so scope review isn't chaos) and integrate with AzDo.
  • Link a Product Brief (required) + all applicable requirements
  • Design artifact link or
  • Story map link or
  • Journey map / service blueprint link
  • PLEASE NOTE: At least one of these will be required to go into the BUILD phase for Q2 BRP
  • Set Triad + X-Team: at minimum Triad + primary engineering team.
  • Identify high level dependencies (by product/tech area): tag teams where you depend on them or they depend on you.
What "good" looks like
Initiative and Epic is understandable in 2 minutes with:
  • Requirement scope clearly defined (Initiative & Epic)
  • Initiatiive:
  • Primary enterprise priority set
  • Brief linked (required) + other applicable artifacts
  • Triad + primary eng team identified
  • Dependencies at least directionally captured (not perfect)
  • Aha / AzDo integration set
  • Epic
  • Linked Initiative
  • Aha / AzDo integration set
Everyone leaves workshops with "we know what we're putting up for consideration" (not "we're ready to build").
Who's in the room
  • Product teams (PMs - feel free to invite others as needed!)
  • ProdOps (facilitating / answering "how do I Aha" questions)
Fri 3/6 + Week of 3/9
Scope Review checkpoint — NOT "build-ready by then"
What you do
  • Walk through Initiative & Epic scope and record fields in Aha (this is the meeting content).
  • Confirm: what is a Q2 BRP Candidate vs what is Discovery/Design work in Q2 (capacity reserve).
What "good" looks like
Clear call per initiative:
BRP Candidate
Candidate to be included in Q2 Initiative & Team Sprint Plans
🔍 Discovery/Design
Stay in Discovery/Design in Q2 (Completed by Triad in Q2)
Dependencies visible enough to trigger follow-ups.
Who's in the room
  • Triad + Architect + UX
  • Dependency teams as needed (Design/Ops/CX/etc.)
Aha Scope Review Checklist
Use this as the "don't show up empty-handed" list:
Initiative Overview Tab Completed +
Primary Enterprise Priority set
Product Brief linked
At least 1 supporting artifact link
(design OR story map OR journey map/service blueprint)
If no artifact, what is the ETD?
Triad + primary engineering team set (X-Team tab)
Dependencies tab: select product/tech areas (both directions)
Milestones tracker
  • Tag epics to milestone(s)
  • If unsure, link via Related Records (good enough for now)
  • Continue updating through ~1 week before BRP

Epic checklist (only for epics going into BRP)
Epic has a usable description
Epic linked to the right Initiative(s)
Epic tagged: Big Room Planning = Q2 Candidate
